Understanding What PartnerTrac Does
PartnerTrac is designed to make contribution recordkeeping clearer, more organized, and easier to manage throughout the year.
What is PartnerTrac?
PartnerTrac is a contribution and recordkeeping platform that helps organizations manage partner information, track contributions, maintain giving histories, and prepare statements from one organized system.
Who is PartnerTrac designed for?
PartnerTrac is designed for churches, ministries, nonprofits, organizations, and businesses that need a practical way to maintain partner, contributor, giving, or related payment records.
Does PartnerTrac process contributions or payments?
No. PartnerTrac is a recordkeeping platform. Your organization can continue receiving contributions or payments through systems such as Square, PayPal, other providers, or through its existing processes. PartnerTrac helps organize the resulting records.
Do I have to change the way my organization receives contributions?
No. PartnerTrac is designed to work alongside the processes your organization already uses. Records can be entered manually or brought into PartnerTrac through available import options.
Is PartnerTrac only for churches and ministries?
No. PartnerTrac has roots in practical ministry administration, but the platform is designed to serve a broader range of organizations that need dependable contribution and recordkeeping tools.
Bringing Your Giving Records Into PartnerTrac
PartnerTrac gives organizations several practical ways to add and maintain contribution records without rebuilding the way they already receive giving.
Can I enter contributions manually?
Yes. Contributions can be entered directly into PartnerTrac and connected with the appropriate partner record.
Can PartnerTrac import records from Square?
Yes. PartnerTrac supports importing contribution records from compatible Square CSV exports so the information can be organized within your PartnerTrac records.
Can PartnerTrac import records from PayPal?
Yes. PartnerTrac supports compatible PayPal CSV contribution records and can use the imported information to build and maintain giving history.
What if I use another payment provider?
PartnerTrac includes a flexible CSV import option for contribution records that can be prepared in the supported PartnerTrac format. This provides a practical path for organizations using providers beyond the direct import formats currently supported.
What happens if the same contribution is imported twice?
PartnerTrac includes duplicate-protection measures for supported imports. Where identifying transaction information is available, PartnerTrac uses it to help prevent the same contribution from being recorded more than once.
Can I review an import before adding it to my records?
Yes. Supported import workflows provide a preview step so information can be reviewed before the actual import is completed.
Keeping Records Ready Throughout the Year
PartnerTrac helps maintain organized partner and contribution histories so important information is available when statements and reports are needed.
Can PartnerTrac prepare giving statements?
Yes. PartnerTrac uses the contribution history maintained in the system to prepare giving statements for your partners.
Can I prepare statements for an entire year?
Yes. PartnerTrac provides annual statement tools that allow organizations to prepare statements using the giving records maintained throughout the year.
Can I review an individual partner's giving history?
Yes. Contribution records are connected with partner records, making it possible to review the giving history associated with an individual partner.
Can statements be printed or saved?
Yes. PartnerTrac provides statement options that allow authorized users to prepare records for printing or saving as part of the organization's normal administrative process.
Can contribution records be exported?
Yes. PartnerTrac includes export capabilities that help authorized users work with contribution information outside the platform when appropriate.
Why maintain records throughout the year?
Maintaining organized records as contributions occur reduces the need to reconstruct information later. When statement or reporting time arrives, the history is already being maintained in PartnerTrac.
